How a small team of sales agents can manage 450+ B2B customers

Every distribution company hits a critical point as it scales: the moment the customer portfolio outgrows the sales team's ability to remember the details. We saw this challenge in a real project, recently delivered by the NEXT team for a major distributor of niche products. Think cosmetics, coffee, dietary supplements, electronics, tires and the like. The company was facing a classic problem: several sales channels (its own store, a website, partners) and a fast-growing B2B portfolio managed by a small sales team.

With around 450 unique customers, many of them with complex structures and dozens of locations across Romania, a way of working based on paper planners, Excel files and the agents' memory had reached its limits.

The company's management asked Next iSolutions to extend its existing digital infrastructure (ERP + WMS) with a modern CRM system that could deliver on four fundamental business goals. The chosen solution, CAS genesisWorld, was not simply installed out of the box: it was shaped around the customer's actual distribution workflows, showing how technology can clear operational bottlenecks that many companies run into.

What did the customer gain from this CRM implementation?

1. Customer data kept inside the company, in one central place

Our customer had a common problem. Traditionally, when a high-performing sales agent left the company, they took with them the history of conversations, customer preferences and promises made. Management wanted to eliminate this weakness for good and keep all customer information inside the company. That is exactly what a CRM system does. It stores every customer interaction centrally and consistently, whether it comes from marketing, sales or support. Everyone works in the same system, and managers check a single source.

On top of that, CAS genesisWorld has a feature called the "customer file". Here the system intelligently gathers all the data linked to a customer, no matter which employee started an interaction (email, phone call, order and so on) or who the contact person on the customer's side was. This file gives a 360-degree view of each customer and an immediate understanding of the relationship, so a new agent can take over an account without any disruption.

2. Tight control of financial risk, straight from the field

A major challenge in distribution is selling to partners who are already behind on payments. The company's director wanted to stop agents from taking new orders from customers with unpaid debts simply because they had no access to accounting data in real time.

The NEXT team built a native integration between the existing ERP system and CAS CRM. Agents can now see on their phones, even before walking into the customer's store, the current balance, the overdue invoices and the approved credit limit. This visibility turns the sales agent into an active partner in collecting receivables and sharply reduces the company's financial risk.

3. Clear measurement of agent activity and management review

To put an end to "guesswork", management asked for a transparent way to measure sales effort, tied directly to financial results and the bonuses paid out.

The system was configured to track activity targets dynamically (for example, a target of 20 visits per week per agent). As visits are logged in the app, the completion rate updates automatically. The innovation NEXT brought was a continuous management review flow. Using a visual color system (green for target reached, red for critical threshold), the sales director can spot discrepancies instantly. If an agent reports a high volume of calls (green) but net sales are falling (red), the director can step in to work on the quality of the sales conversation, not just the quantity.

4. Effort directed intelligently, not just more work

How do you manage 450 accounts efficiently with a team of only 3-4 people in the field? The answer delivered through CAS genesisWorld was algorithmic prioritization of effort.

The system uses an ABC analysis module that automatically segments the portfolio by revenue generated. Most of the travel effort is aimed precisely at Segment A: the top customers who, in line with the 80/20 rule, bring in 80% of the revenue.

  • Risk alerts: If the system detects a drop in order volume from a VIP customer over the last 30 days, it automatically raises an alert for the agent to step in.
  • Route optimization: In the mobile app, which is integrated with maps, agents can filter nearby customers visually. A simple query such as "Show me all A-type customers in this city I haven't visited in two weeks" saves hours of manual planning and cuts fleet costs.

Fewer meetings, better use of time

As a major side benefit, reporting became fully automated. Nobody wastes time filling in Excel files anymore, sales meetings are less frequent, and managers have real-time access to reports and analysis. In this project, the general manager even asked to receive a complete report of the planned sales activity every Monday morning, so he could step in early wherever needed. Moving from a reactive, memory-based way of working to a proactive, data-driven one is the decisive step for any distribution company that wants to grow efficiently.

The project has many interesting features, which we will cover in a case study. The core idea is that managing a portfolio of hundreds of customers without a CRM system is complicated and ties the management team up in checking and control work. With the CAS CRM system implemented by Next iSolutions, our customer turned a sales process based on gut feeling and notebooks into a business that can be controlled and run on real data. CAS CRM has become the "brain" of the sales team. Today, a very small team of agents manages hundreds of customers with ease, knowing exactly whom to visit, what to sell them and how to collect payments on time.
