In the electronics retail and distribution business, growth does not come only from opening new stores or expanding the product range. It comes from the ability to handle more orders quickly, correctly and in an integrated way. For many companies that import and distribute electronic and technical products, the daily reality means orders from multiple channels, constantly moving stock, different suppliers and the pressure of digital tax compliance.
That is how the story of one of our clients begins: a company that imports, distributes and sells electronic components online, a mature business with both online and offline operations, which had reached a critical point. Manual processes could no longer keep up with the pace of sales.
The challenge: growth makes things complicated
The client was running its own online store, selling through the eMAG marketplace and operating a physical store at the same time. Each channel worked well on its own, but the lack of a central platform created bottlenecks:
- orders were entered manually, with a risk of errors and delays;
- placing orders with suppliers was cumbersome and hard to match with actual stock;
- stock counts and transfers between warehouses were hard to track;
- financial data offered no real-time visibility;
- the new digital tax requirements in Romania (SAF-T, e-Factura, e-Transport) called for a fast, reliable way to comply.
It was clear that the business needed more than a point solution. It needed an integrated ERP system built for modern commerce.
The solution: SOFTONE ERP, implemented and customized by Next iSolutions
The choice fell on SOFTONE ERP, a platform on which, as a certified SOFTONE partner, we have experience with complex integration and automation projects. The implementation had one clear goal: to bring all workflows together on a single platform, without disrupting day-to-day operations.
Supply chain automation
With the purchasing module in SOFTONE ERP, working with suppliers becomes much clearer and more efficient. Orders are placed based on actual needs, calculated from stock levels and sales, which eliminates rough estimates and overstocking. In addition, supplier prices and product availability are integrated directly into the system, so the right decisions can be made quickly and on solid grounds, without extra checks or unnecessary back-and-forth.
Full control over inventory
Inventory management is no longer a time-consuming process but a predictable, easy-to-control activity. SOFTONE ERP makes fast, accurate stock counts possible, giving a clear picture of available quantities. Transfers between warehouses are tracked transparently, and internal movements and consumption are monitored in real time, so every product can be located and managed correctly at any moment.
Integrated sales, whatever the channel
One of the most important benefits of the SOFTONE ERP implementation is the full integration of all sales channels into a single operational flow. Orders from the company's own online store are imported automatically, as are those from marketplaces (eMAG in this case, through the dedicated connector we developed), where the system also generates shipping labels (AWBs) automatically and integrates with courier services. Sales in the physical store are synchronized through integration with the cash register, so all orders, whatever the channel, are processed the same way, with no information gaps.
Finance and accounting: visibility and compliance
The finance and accounting side also benefits from a high level of automation and clarity. SOFTONE ERP imports bank statements automatically and quickly generates trial balances from the documents already in the system. At the same time, it fully supports mandatory Romanian tax reporting, such as SAF-T, D394, D300 and D390, and is integrated with the national e-Factura (e-invoicing) and e-Transport systems. The result is simpler tax compliance and constant access to accurate, up-to-date financial data.
The results: from fragmented operations to a coherent business
After implementing SOFTONE ERP, our client moved from reactive processes to a predictable, scalable way of working:
- orders are imported automatically from all sales channels;
- deliveries are faster, with documents generated automatically;
- purchasing is optimized, based on real data;
- inventory is controlled in real time;
- the finance team works with accurate, up-to-date data;
- digital tax compliance is no longer a burden but an integrated process.
In short, SOFTONE ERP became the backbone of operations, and Next iSolutions the partner that turned technology into a real competitive advantage. This case shows that the right technology made the difference. Not just any ERP would have worked for this client; it took a mature system like SOFTONE, with well-defined features for automating operations along the order-to-delivery chain.
